Three things that will cost you
$23.99 buys one calendar and nothing else. Texting is $20. Your own website is $20. Forms are $10. Deposits and cancellation fees are locked behind a $10 Shopping Cart. Vera is another $10 and needs the paid text plan to run at all. That is six lines every month before you have taken a single booking — and the headline rate is a promo that expires in month seven.
Vagaro does sell AI and it is real AI. But their own help documentation says it cannot view the availability of an employee's calendar, schedule new appointments, or reschedule appointments. It answers chat and inbound SMS, and it sends the caller a booking link. Every message it sends burns an SMS credit off the plan you are already paying $20 for. Nothing in Vagaro picks up the phone.
Fill My Books takes 20% of a brand-new customer's entire first cart and 5% of a returning one on a last-minute deal — and it applies regardless of where the lead came from, so a customer you paid Meta to reach still costs you 20%. It comes off before the barber's commission is worked out, so on a $100 service with a 10% discount the barber's cut is computed on $82. It is the barber's money too, not just yours.
Switching off Vagaro
Vagaro's export is awkward and its cancellation has teeth. Here is the whole thing, including the parts that will annoy you.
Reports → Customers → Export, bottom right, from the business owner account. It comes out as PDF or Excel — there is no CSV option — so open the .xls and Save As CSV. Send it over; we map the columns and show you a preview before a single row is written.
Customer notes are not a column in that export; they come out one client at a time, web only. Gift card balances, memberships, packages, loyalty points, signed forms and booking-source history all stay inside Vagaro. If you sell gift cards or a monthly membership, say so on the first call — that is a 60 to 90 day switch, not a two-week one.
Vagaro keeps taking bookings and we mirror them within the hour, so there is never a day with two sources of truth. Meanwhile we build your site and your calendar, and you forward the phone when you are ready — always, or only when nobody picks up in four rings. Your number stays yours; we forward it, we do not port it.
There is no pause in Vagaro — pausing means cancelling and reactivating, and reactivating after non-payment costs the balance plus a $5 late fee. There are no refunds either, so cancel at cycle end and run every report you might ever want first. One free win on the way out: Vagaro requires the Google Business Profile booking-link field to be left blank for their listing page to surface, so most Vagaro shops have no booking link on Google at all. Yours gets one on day one.
Nothing is charged and nothing is switched off at Vagaro until you say so. Ring the demo number first if you want to hear the receptionist answer before you type anything.
